Status Email to All Participants
This email was sent to all participants. We have had some email issues so please read it here if you have not received it. Also, if you have signed up for an account and do not receive an email with a password within an hour email me at firstname.lastname@example.org immediately. A request for a new password via the website or signing up using another email will probably not work.
Welcome to the Mercer Science and Engineering Fair.
This is a general email to all participants. Please read the entire email. It includes information that is important to participating in the fair.
First, everyone must have finalized their online application by March 10th. Finalizing an application assigns you a table number that is required to save a space for you at the fair. We recommend that everyone finalize their application as soon as possible. Seniors should finalize their application immediately. Email me if you have any issues with your application.
Next, make sure your application is complete and you have the following items to bring to the fair:
- Check in form
- Check out form
- Research plan
- Project board
- Lab notebook, research paper (optional)
The check in, check out, research plan and abstract will be found on the Print tab of your application when the application has been finalized. They will have your table number.
Please read the Restricted Content that may be found online under the Students/Help With My Project/Restricted Content menu. Your board will be rejected if you have any of this items on the board. You also need to make sure all figures and photos are properly annotated.
Now for scheduling details:
Project set up:
Project set up is Sunday March 13th between 11am and 4pm. It takes about 15 minutes. Stop by the appropriate check in table (elementary, junior, senior) to get your participation certificate and to have your paperwork checked. You will then go to your table to set up. Leave the check in form, research plan, abstract and board at the table. Then go to the SRC/Safety Review line. A fair Safety Review person will meet you there and take you back to your table to check the board and materials. They will initial the check in form and leave it there. You can then leave.
Elementary and junior division judging is done based on the boards and any other items left at the table. We recommend using photos instead of leaving artifacts as we can not guarantee their safety .
Seniors must appear Monday morning at 9am in professional attire for interviews with the judges. This will last until noon. You may bring additional materials and remove them when they leave.
The award ceremony is at 7pm on Tuesday. It is open to the public and senior division students must attend. It is optional for elementary and junior division students but we recommend they attend. No one will be notified ahead of time if they have received and award. Awards for elementary and junior division students that have not been picked up Tuesday will get them Thursday when they pick up their projects. No awards will be mailed. They must be picked up Tuesday or Thursday. Please leave any award papers with projects so people can see them during the open house. Do not leave any other awards or certificates. You may also remove any artifacts but please leave the boards.
Projects will be open to the public on Wednesday and Thursday from 10am to 3pm.
Project pick up:
All projects must be picked up between 3pm and 7pm on Thursday. ANY project left at 7pm will be discarded. Do not call after 7pm. We do not have the ability to store projects. You will need the check out form or a photo ID to pick up a project. A person can pick up any number of projects.

P.S. Teachers who registered their students: Please print a copy of this email and provide to the students along with their forms so they know what to do when they arrive and that they will be aware of restricted materials. What may have been acceptable for a school science fair display may not be allowed at our fair and it is best if these changes are made before they set up their projects on Sunday. We do not allow items like liquids, glass, batteries, and much more. The menu item noted above goes into great detail.
